  • Liaising directly with agents, direct clients or representatives on all aspects of the project.
  • Assisting with the organisation, coordination and implementation of site inspections and fam trips.

We're recruiting for a CPI Fulfilment Manager – Sponsorship & Exhibitions (Hybrid in Dublin)

As Fulfilment Manager, the Employee will report to the Commercial Director. The Fulfilment Manager is responsible for the successful delivery and fulfilment of all sponsorship and exhibition commitments across the company’s portfolio of conferences and events (in person and virtual) in Ireland, UK and Globally. Working closely with the Commercial and Operations Team, sponsors, exhibitors, industry partners, venues, and suppliers, the Fulfilment Manager ensures that every contracted sponsorship and exhibition benefit is delivered accurately, professionally, on time, and to the highest standard. The role is central to maintaining excellent client relationships by ensuring sponsors and exhibitors receive an outstanding experience from contract handover through to post-event completion.

Key Responsibilities

Sponsorship & Partnership Fulfilment

  • Manage the end-to-end fulfilment of all sponsorship, partnership and exhibition agreements across the conference portfolio.
  • Act as the primary operational contact for sponsors, exhibitors and industry partners, ensuring all contractual benefits are delivered accurately, on time and to a high standard.
  • Build and maintain strong client relationships to maximise partner satisfaction, retention and future commercial opportunities.
  • Maintain Operational Partnership Agreements and produce fulfilment reports using EventsAIR.
  • Work closely with the Commercial Team to ensure all promotional benefits are delivered.

Exhibition Management

  • Coordinate all operational aspects of the exhibition, including floor plan development, exhibitor communications, stand requirements and liaison with exhibition contractors, venues and suppliers.
  • Develop and maintain exhibitor and volunteer manuals, operational documentation and exhibitor communications.
  • Oversee exhibition build-up, breakdown and onsite exhibitor support as required.

Industry Educational Sessions

  • Coordinate the operational delivery of all industry educational sessions for in-person, virtual and hybrid events.
  • Arrange speaker demonstrations, Industry Partner Q&A webinars and manage the upload of session content within EventsAIR.
  • Ensure all industry partner educational commitments are delivered in accordance with agreed requirements and ABPI Code requirements.

Financial & Supplier Management

  • Coordinate sponsorship and exhibition invoicing, monitor payments, issue payment reminders and maintain accurate financial tracking records.
  • Negotiate and manage relationships with third-party suppliers and exhibition contractors to ensure quality service delivery and value for money.
  • Manage third-party supplier commissions and mark-ups, issuing invoices for additional revenue streams while ensuring accurate tracking and reconciliation.

Event Delivery

  • Attend client meetings and provide updates on sponsorship and exhibition fulfilment.
  • Manage onsite sponsorship and exhibition operations, including industry educational sessions, ensuring a high-quality experience for partners and exhibitors.
  • Undertake post-event evaluations and recommend continuous improvements to sponsorship and exhibition delivery.

General

  • Configure and maintain sponsorship and exhibition elements within EventsAIR, including online portals, reports, checklists and automated communications.
  • Maintain accurate sponsorship, exhibitor and partnership records and work with the EventsAIR support team to resolve system issues.
  • Manage project delivery through Monday.com, maintaining conference checklists, dashboards and progress updates to ensure milestones and deadlines are achieved.
  • Ensure compliance with company procedures, quality standards and agreed project timelines.
  • Undertake additional duties and projects as required to support the Commercial Team and the successful delivery of conferences and events.
  • Collaborate with the Marketing, Design, Delegate Services and Operations teams on sponsor branding, website content, delegate communications, programmes and promotional materials.
  • Identify opportunities to enhance sponsor value and contribute to the development of new commercial partnerships.
  • Provide guidance on ABPI Code of Practice requirements, ensuring compliant sponsorship, exhibition activities and promotional opportunities while supporting commercial objectives

We're recruiting for a EPI Programme Executive (Hybrid role based in Dublin)

This is a Programme Executive Role within the operations team of Event Partners. This role is hands-on and involves working as part of the Operations team. The successful person must be able to complete a wide range of activities requiring clear communication, excellent organisational skills and attention to detail.

The Programme Executive will manage large and repeat client accounts with complex programs and significant budgets. They must work exceptionally under pressure, ensuring every event’s smooth and efficient running from the initial handover to the final invoice. This candidate will manage approximately 8-10 events/projects a year and join several site inspections to assist with the procurement of future business.

Key Duties & Responsibilities:
Leadership:

Skills Required

As Operations Executive (Sponsorship & Exhibition) the employee will be reporting to the Commercial Director, our Operations Executive will handle day to-day activities that enable commercial processes and functions to run smoothly. More specifically:

  • Act as the primary point of contact for sponsors and exhibitors, handling all pre-fulfilment queries related to contracts, invoicing, deliverables, and entitlements.
  • Provide administrative support to the Commercial Director and Commercial Team as assigned.
  • Develop and refine sponsorship and exhibitor packages, working with the Commercial Director to tailor opportunities to industry needs.
  • Oversee partner onboarding and handover to fulfilment, ensuring clear communication of deliverables and expectations.
  • Coordinate meetings, including preparing and distributing agendas, minutes, proposals, cost estimates, and briefing documents for meetings.
  • Manage conference inboxes to ensure all enquiries are tracked, allocated and responded to. Conduct market research and identify potential sponsors and exhibitors, ensuring strong pipelines for future events.
  • Design and layout of exhibition floor plans, coordinate with exhibition suppliers and update our interactive floor plan.
  • Develop and maintain sponsorship brochures, sales decks, and promotional materials to drive partner engagement.
  • Prepare, issue, and track sponsorship contracts, invoices, and payment statuses, ensuring accurate and timely follow-ups.
  • Support targeted marketing campaigns and social media strategies to increase sponsorship visibility and event engagement.
